Privacy Policy
Trident Pain Clinics, Chennai — last updated October 2026. This notice explains how we handle personal information under the Digital Personal Data Protection Act, 2023 (DPDP Act) when you use our website, clinical systems, care-related WhatsApp communication or the my 3 patient app.
What we collect and why
When you book an appointment, contact us, prepare for a visit, or use the pain assessment or AI booking helper, we may collect:
- Your name, phone number, age or date of birth, city and email address if you choose to provide it — to identify you, contact you and arrange care.
- Your preferred clinic, visit type, date, time, consultation mode and accessibility needs — to plan your appointment.
- The pain area, assessment answers and notes you provide about symptoms, medicines, allergies or visit needs — to help the clinical team prepare.
- Technical and operational information needed to keep the service reliable, prevent misuse and understand whether a request was completed.
We use this information to respond to you, arrange and provide care, maintain an appropriate clinical record, support follow-up and operate the service safely. We do not sell your personal information or use identifiable clinical information for advertising.
Payments
Consultation fees may be paid by UPI to the clinic's payment account, or at the clinic. The website does not receive or store card, bank or UPI PIN details — payment happens inside your own UPI app.
If you choose to report a payment, we collect the 12-digit UPI transaction ID together with your booking reference and the amount shown. This goes to our clinic records system so reception can match it to the bank statement, confirm your payment and handle any refund. It is kept with your appointment and billing records for as long as accounting and tax law requires.

When someone refers a patient
A doctor, dentist, physiotherapist, hospital representative, relative or another person may send us a referral about a patient. The referral may include the patient's name, phone number, city, consultation preference, specialty clinic, clinical reason and an optional referral letter or report.
We also collect the referrer's name, role, phone number and, when provided, professional registration number. The person submitting the referral must confirm that the patient agreed to the referral and to being contacted. We use these details to verify the request, contact the patient or referrer in the requested order, arrange care and connect the referral to the patient's clinical record.
If information about you was supplied by someone else, you may contact us to ask what was provided and to request a correction. We do not give clinical updates to the referrer without the patient's permission, unless disclosure is otherwise required or permitted by law.
Documents and visit preparation
A patient or referrer may upload referral letters, reports, prescriptions, scan images or photographs and PDFs. Supported files are limited to 20 MB each. Visit preparation may also include the patient's main concern, current medicines, allergies, available records and practical needs for the visit.
Submitted files are stored in a private folder linked to the relevant booking or referral in the clinic's clinical system. Access is limited to authorised clinic staff who need the information for the patient's care. If a direct transfer is temporarily unavailable, a file may be held in the website's private storage until it can be delivered securely to the clinical system.
Unfinished visit-preparation answers may be saved only on the device being used so the patient can return later. The on-device draft is removed after successful submission; the patient can also clear it by clearing that browser's site data.
The AI booking helper
If you use the "describe your pain" helper, the text you write is processed by an artificial-intelligence service to suggest a suitable clinic and appointment option, and to prepare a short intake summary for our clinical team. The AI does not make medical diagnoses, and its suggestion is always confirmed by our staff. Please do not include information you are not comfortable sharing.
WhatsApp communication
If you choose WhatsApp, we may use it for appointment confirmations, preparation instructions, reminders, follow-up and support. Messages you send through WhatsApp are also handled under WhatsApp's own terms and privacy practices.
Where a message is relevant to care, an appropriate note or message may be linked to the patient's clinical record and seen by authorised members of the care team. Please share only what is needed and do not use WhatsApp for an emergency.
The my 3 patient app
my 3 is the patient app connected to the clinic record. Registered patients may use it to view records, prescriptions, care plans and reports; manage appointments and reminders; record pain-diary information; and communicate with the care team. Information entered in my 3 may become part of the patient's clinical record and is available only through controlled access.
my 3 and its messages are not an emergency service. For urgent medical help, use the appropriate emergency service.
Who sees your information
Personal and clinical information is available only to authorised Trident Pain Clinics team members who need it to arrange or provide care, and to service providers that operate the website, private storage, communications and clinical systems on our behalf under appropriate confidentiality and security obligations. We may also disclose information where required by law or needed to protect a person's vital interests.
Website performance and booking-journey analytics receive operational events rather than patient identity or clinical content. We do not sell personal information.
How long we keep it
Accepted referral, appointment, preparation and clinical material is kept under the clinic's applicable legal and clinical record-retention schedule. Temporary website copies and failed-transfer copies are securely deleted when they are no longer needed. Other inquiry and operational information is kept only as long as needed for its purpose and our legal obligations.
Your rights
Under the DPDP Act, you may ask us to access, correct, or erase your personal information, and you may withdraw consent where consent is the basis for its use. Erasure may be limited where we must retain a record for legal, safety or clinical reasons. If someone else submitted a referral about you, you can use the same contact details to ask us to check or correct it:
